Who can create and manage them
- Meeting organizer (and designated co‑organizers / breakout room managers)
- Works for scheduled meetings (not "Meet Now" meetings)
- Best experience on Teams desktop
Setting up breakout rooms before the meeting
- Open Teams → Calendar
- Double‑click the scheduled meeting (must be a meeting that YOU scheduled)
- Click Edit
- Select the Breakout rooms tab
- Click Create rooms
- Choose the number of rooms
- Click Assign participants
- Automatically or manually
- (Optional) Adjust settings (use the gear in the upper right corner):
- Room time limit
- Auto‑move participants
- Appoint breakout room managers
- Save and close
✅ Rooms are prepared but do not start yet
Use breakout rooms during the meeting
- Start or join the meeting
- In the meeting controls, click Rooms
- Review or adjust room assignments if needed
- Click Open rooms
Participants are moved into their assigned rooms.
While rooms are open
The organizer can:
- Join any breakout room
- Move participants between rooms
- Rename rooms
- Send announcements to all rooms
- Add or delete rooms
- Set or change time limits
Ending breakout rooms
- Click Close rooms
- Participants return to the main meeting
Important notes
- Participants cannot choose their own rooms
- Late joiners must be assigned manually
- Only the main meeting can be recorded
- Breakout rooms are not available for Meet now meetings
